Policies and Procedures


General Information

1. Reservations:
    a) Phone Mark Pokorski at (310) 206-0559 or e-mail him at mpok@humnet.ucla.edu and provide the following information:
        · Date and Time
        · Department name and address
        · Contact person
        · Email address
        · Telephone and Fax numbers
        · Type of event
        · Recharge ID and full account number
    b) If the room is available, Mark Pokorski will send you a rental form to complete.

2. Who may reserve the room:
    Departments in the Humanities Division of the College of Letters and Science will have priority in reserving Royce 306.
    All other UCLA departments may use the room if it is available, but may not reserve it more than six months in advance

3. Cleaning Fee ( Per day ) :
    $25. Applies to ALL UNITS.

Amenities

1. Royce 306 is a large seminar room that holds up to 80 people. It has an adjacent terrace. Access to the terrace is only through the seminar room itself.
2. The room is equipped with two large, wooden conference tables. The tables are very heavy, but have lockable casters that allow two people to move them about the room.
3. The room has 38 upholstered chairs that may be rearranged within the room as required. The reserving department may order additional chairs from Facilities, if needed.
4. There is a lecturn, but no microphone. Audiovisual services may be arranged with the campus AV office by calling x66591. Any additional items may be ordered from UCLA Facilities management.
5. Four aluminum tables are stored outside on the terrace. These tables are for outdoor use only, and must be wiped clean after use.
6. Restrooms are located on the third floor (Men's Room #321A, Women's Room # 351). NOTE: the second and third floor men's rooms are locked. Open men's and women's rooms are available on the first floor. You may have the third floor men's room opened by submitting an FSR to Facilities Management at least two days prior to your event requesting the men's room (321A) be opened for the duration of your event.
7. A public pay phone and a campus phone are located between rooms 306 and 314.
8. The water fountain is located next to the Women's restroom.
9. Extra amenities: (e.g., chairs, tables, extension cords, microphones, trash cans) can be ordered from Facilities or AVS, or an outside vendor.

  • Rules for use

    1. Keys: Set up a time prior to your event to pick up keys for the Morris Room. Keys may be obtained at Royce 323.

    2. Staffing your event: . Staffing an event is the SOLE responsibility of the reserving department. You are responsible for unlocking the room for Facilities, audio-visual, catering, or any other special needs. You are responsible for supervising the set-up and take-down of the event; and should always be present during the entire set-up and take-down period.

    3. Locking the Room: IT IS THE RESPONSIBILITY OF THE RESERVING DEPARTMENT TO LOCK THE DOORS UPON THE CONCLUSION OF THE EVENT. You must also stay with the room until all delivered items have been picked up (e.g., catering, additional chairs, audio-visual equipment). The key must be returned by 10:00 a.m. the next business day to avoid a $100 key charge. THERE IS NO EXCEPTION TO THIS POLICY.

    4. Royce Hall closes nightly at 7:00 p.m., and weekend access is limited. The reserving department is responsible for obtaining access to the building for weekend and after hour events. For weekend events, on-line FSRs must be submitted to Facilities by Thursday at noon to ensure access to Royce Hall. Facilities trouble desk is ext. 69236.

    5. Custodial: The reserving department is responsible for leaving the room neat and clean. The Morris Room is checked after each event, and any damage (e.g., stains on the carpet or the upholstered chairs) will be noted and the reserving department will be responsible for paying the additional cleaning fee. Trash should not be left in the hall.

    6. Extra amenities: (e.g., chairs, tables, extension cords, microphones, trash cans) Can be ordered from Facilities or AVS, or an outside vendor.

    7. Deliveries: You must be present in the room to supervise any drop-offs or pick-ups of delivered items (e.g., catering materieals, audio-visual equipment). Also, be advised that use of the Royce loading dock is prohibited unless coordinated through the Center for the Performing Arts (contact: Michael Wolf, ext. 62369).

    8. Please make an appointment prior to your event to determine what items, if any, are needed for your event.

    9. Chairs: Chairs can be rearranged. However, when the room is restored, the chairs are not to be placed so close that the paneled walls are scratched or the drapes creased.

    10. No Food or Drinks: No food or drinks should be brought into the Morris Room. Food and drinks must stay in the loggia area.

    11. Do not post signs: Signs are not to be posted on the walls inside Royce Hall. We suggest placing easels at various locations.

    12. Room Restoration: The Morris Room must be restored to the standard position (see room layout) following your event. Events are often scheduled back-to-back, so it is vital you restore the room to an appropriate condition.

    13. Problems:
    * Please contact Facilities, or the 24 hour trouble desk, to report any problems with the building (e.g., bathrooms, elevators, lights, etc.), ext. 69236.
    * The reserving department is responsible for lost and found items.
    * Lights on the patio are on a timer, and will turn on automatically (contact: John Manchester, ext. 68843, Electrical Shop).
    * The wheelchair lift works with the key turned to the ‘on’ position. Ensure the lift door is completely shut (contact: Jack Cornell, ext. 54120, Elevator Shop). Under NO circumstances should the wheelchair lift be used for freight. The reserving department is responsible for the proper use of the lift.
    * Air-conditioning, heating, and fans are controlled automatically by computer (8am-3pm contact: Alex Schraegel, ext. 57454; after 3pm contact: 53360; or call the Trouble Desk).
    * Sound: please be advised that when the main auditorium in Royce Hall is in use sound levels in the Morris Room are often distracting. If you feel this may be a problem, we recommend you rent a microphone to ensure your speakers can be heard.

    14. Administrative Support:
    * Telephones (campus and pay) can be found between rooms 310 and 314
    * Copier is not available (nearest copier is located in Powell Library).

    15. No Smoking: Smoking is absolutely prohibited in the Morris Room and on its adjacent terrace.

    Royce Hall Events:
    It is recommended you contact the UCLA Events Office at 58989 or search the UCLA Campus Calendar at http://www.calendar.ucla.edu prior to booking your reservation to ensure other events will not have an adverse effect on your event. The Morris Room is adjacent to the auditorium, and performances can often be heard from inside the Morris Room. The auditorium schedule, particularly rehearsal schedules, tends to change at the last minute. This type of noise is simply a fact of life in Royce Hall. If you feel potential last-minute auditorium performances or rehearsals will be a problem, it is suggested you rent a microphone from AVS to ensure your speakers can be heard in the Morris Room.

    Parking
    If individuals from off-campus will be attending, or if you intend to have campus employees use parking lot 5, it is suggested that you contact Campus Parking at 310 825-1286 at least two weeks prior to your event.

    Catering
    Caterers must use the East entrance to Royce Hall (along the Royce main corridor, in the loading dock area), but you must coordinate loading dock use with the Center for Performing Arts (contact: Michael Wolf, ext. 62369).
